Pricing is tailored to each booking and provided upon request. Final pricing is confirmed in the booking confirmation document.
Additional
Charges
Consumption tax, as applicable. Any additional fees (e.g., overtime charges at ¥15,000/hour) are communicated prior to confirmation.
Payment Methods
Credit card and bank transfer.
Payment Terms
An itinerary planning fee of ¥50,000 is charged upon engagement to cover initial itinerary creation. Following itinerary approval, a 30% non-refundable deposit is required to confirm the booking. The remaining 70% balance is due no later than 14 days prior to the service date.
Service Delivery
Services are provided on the dates specified at the time of booking. Booking confirmation and itinerary details are delivered via email following receipt of deposit.
Cancellations & Refunds
Cancellation by client more than 30 days prior to service date: deposit forfeited; balance refunded in full. 15–30 days prior: 50% of total fee refunded. 7–14 days prior: 25% of total fee refunded. Less than 7 days prior or no-show: no refund. Refunds are subject to third-party provider policies and may include administrative fees.
Exchanges & Returns
Not applicable. As bespoke travel and concierge services, exchanges and returns do not apply. See Cancellations & Refunds above.

WADO KK (operating as WADŌ-VIP) provides bespoke travel and concierge services in Japan. By engaging our services, clients agree to the following terms and conditions.
2. Services

All itineraries, experiences, and concierge arrangements are tailored individually.

WADŌ-VIP reserves the right to substitute or modify services due to availability, weather, or unforeseen circumstances, ensuring equal or greater value.
3. Bookings & Payments

A written confirmation (email or signed agreement) is required for bookings.

Payment terms, deposits, and deadlines will be outlined in the booking invoice.

Prices are subject to change until payment is confirmed.
4. Third Party Cancellations & Refunds

Third party cancellation policies may vary by experience and will be specified in booking documents.

Refunds (if applicable) are subject to third-party provider policies and may include administrative fees.
5. Liability & Insurance

WADŌ-VIP provides basic travel insurance as part of its services; however, this coverage is limited.

Clients are strongly advised to obtain comprehensive travel insurance (covering health, accidents, cancellations, and personal belongings) to ensure full protection.

WADŌ-VIP acts as a coordinator and is not liable for acts, omissions, or negligence of third-party providers (transport, hotels, artisans, restaurants, etc.).

Clients are responsible for holding valid travel documents and meeting health/safety requirements.
6. Client Responsibilities

Clients are expected to conduct themselves respectfully during experiences.

Any damages caused to property or disruption of services may be charged to the client.
7. Data Protection

Personal information is handled in accordance with our [Privacy Policy].

Data will only be used for travel arrangements and communication with the client.
8. Governing Law

These terms are governed by the laws of Japan.

Any disputes shall be subject to the exclusive jurisdiction of Japanese courts.
